CemeteryPortal.ca ("we," "us," or "our") provides a specialized GIS-first platform for organizations and municipalities to manage cemetery records. We understand the sensitivity of heritage data and the importance of privacy for both our municipality clients and the public searching for records.
2. Information Collection
Municipality Data: We collect administrative information such as name, email, and municipality details to provide portal access.
Cemetery Records: We store interment records, obituaries, and GIS coordinates provided by our clients. This data is designated as either "Public" or "Private" by the municipality.
Technical Data: We may collect standard log information (IP addresses, browser type) to ensure system security and performance.
3. Multi-Tenant Isolation
Our platform utilizes a strict multi-tenant security model. Data belonging to one municipality is mathematically isolated from others. We do not share interment records or administrative data between tenants unless explicitly authorized for multi-site search tools.
4. Data Hosting and Security
All data is hosted within the Prairie-West Cluster on dedicated, encrypted nodes. We utilize S3-backed archival storage for documents and photos, with strict 15-minute expiring presigned URLs for private assets.
5. Third-Party Services
We use Eco-Send for transactional communications, such as password resets and system notifications. Your email address is shared with this provider only for the purpose of delivering these critical service messages.
6. Your Rights
Municipalities maintain ownership of their uploaded data. Public users searching for family records may contact the respective municipality regarding the correction or removal of public interment information.
