The platform exists to help organizations preserve records without blurring the line between public history and private operational data. This policy explains how that distinction is handled.

1. Information We Handle

We process organization administrator details, cemetery records, GIS geometry, supporting files, and ordinary technical log data needed to secure and operate the service.

Public-facing records are shown only when an organization explicitly enables public visibility. Private administrative records and unpublished content remain outside the global public experience.

2. Public Versus Private Data

CemeteryPortal is structured around a clear public/private boundary. Municipal and cemetery operators decide what may appear in public search, public cemetery pages, and the global directory.

Changing public visibility affects only material intentionally published through the platform. Administrative workflows, internal notes, unpublished documents, and restricted records are not exposed simply because a tenant participates in the service.

3. Tenant Isolation

The platform uses a multi-tenant model designed to keep one organization's data operationally separate from another's. Public discovery features only cross that boundary where a tenant has explicitly chosen to participate.

4. Storage and Access Controls

Platform data is stored using managed infrastructure, access-controlled application services, and signed asset delivery for restricted files where applicable.

We retain logs and operational details necessary for authentication, auditing, troubleshooting, and abuse prevention.

5. Service Communications

Administrative email addresses may be used for sign-in flows, password resets, verification prompts, system notices, and service-related operational communication. These messages are part of maintaining secure access to the platform.

Participating organizations remain responsible for the accuracy, publication status, and legal basis of the records they upload. Individuals seeking correction or removal of public information should contact the responsible organization first.
